Optic Swiss Services SA (hereinafter ‘OSS’, ‘we’ or ‘us’), a company domiciled at Avenue de la Gare 41, 1003 Lausanne, is responsible for processing your personal data collected under this personal data protection policy.

We respect your privacy and are committed to full transparency about how we collect, use and share your personal data.

This privacy policy tells you how we treat personal data that we collect from you, that you provide to us or that we may collect from other sources. This includes the various ways in which you interact with us, such as in person, by email or telephone, through our website (www.optic2000.lu) or through our pages on social networks.

The purpose of this personal data protection policy is to:

  • to list the personal data we collect from you;
  • explain the purposes for which the data is processed and specify the legal basis on which the data is processed;
  • identify with whom this data is shared and whether it is transferred abroad;
  • set out the security measures we take in relation to this data;
  • to inform you of your rights with regard to your personal data and how you can exercise them

OUR PERSONAL DATA PROTECTION POLICY

By interacting with us or providing us with your personal data, you agree to the rules described in this privacy policy. If you do not agree to these rules, please do not use or visit our websites or provide us with your personal data. OSS reserves the right to make changes to this privacy policy, which will be effective when posted on our website. Please check our website regularly for any changes.

WHAT PERSONAL DATA DO WE COLLECT?

When you interact with us, for example via our websites, our social media accounts, by e-mail or by telephone, when you visit our physical premises or at events, we may collect your personal data.

We only collect personal data that you provide to us, that results from your actions on our websites and/or that we need to offer you or improve our services, or on the basis of another legitimate interest:

  • Contact and identification information, such as surname, first name, telephone number, physical address and e-mail address, as well as communication metadata such as your IP address, time signature, browser (including language and version) and geolocation;
  • Information relating to personal characteristics, such as photographs or facial images, for virtual fitting services;
  • Information from your social media accounts, such as profiles, photos, videos, stories, comments and other content generated by you where our brands and/or services are mentioned or appear, when you authorise a third-party social network to share your personal data with us or when you use a social networḱ feature that is integrated into our websites, such as booking an appointment using Facebook for example ;
  • Professional information such as profession or occupation and/or previous professional experience, educational institutions attended, references or certifications, if you are responding to a job offer or sending a spontaneous application.

We collect this data directly from you, in particular when you fill in the forms on our websites, when you use our virtual glasses fitting service or when you communicate it to us in any other way.

We may also have access to certain information about you indirectly, obtained from our OPTIC 2000 franchisees and/or our members of the central purchasing group (OSS), when we act as sub-contractors.

We also use cookies and other tracking technologies (e.g. pixels, web beacons and APIs) that collect certain types of information when you interact with us on our website or via our social media pages, such as IP addresses, location, browsing devices or preferences, operating system, source, length of visit, pages viewed, etc. For more information, please consult our cookies policy.

We may also collect personal data from third party data aggregators (e.g. Google), promotional partners, public sources and social networking platforms. This information may include personal data from your profile on a social network and which you authorise that network to share with us in accordance with their rules.

WHY DO WE COLLECT YOUR PERSONAL DATA AND ON WHAT LEGAL GROUNDS?

We collect and use your personal data in order to:

  • to provide you with our range of services, in particular making appointments with our OPTIC 2000 opticians and/or our members and the virtual fitting of glasses;
  • to offer you relevant marketing and communication services in line with your needs and preferences;
  • to optimise your user experience on our websites;
  • guarantee the security and maintenance of our websites and digital ecosystem;
  • respond to unsolicited or other job applications;
  • to keep records of our activities in order to comply with our financial or legal obligations.

  We process your data on a pre-contractual and/or contractual basis for all your interactions with OSS in connection with our service offering, including prior contact with us or requests for information. We will process your personal data on the same basis if you respond to a job offer or send us an unsolicited application.

If you wish to use the virtual glasses fitting service on our websites, we will need access to live images (via your webcam) or a photograph of your face, in order to be able to provide the desired service. This data will be processed on a contractual basis and we will inform you of the processing carried out. Please note, however, that this data will not be kept beyond the virtual fitting session. It will be deleted immediately once the page has been closed.

If our OPTIC 2000 franchisees and/or members instruct us to send you paper mailings, SMS or other communications on their behalf, they will have previously obtained your consent to process your personal data. In this case, we will act as a sub-contractor and the data received from our franchisees and/or members concerning you will be deleted 30 days after the mailing. Finally, we have legal obligations under national and international law. In order to fulfil our obligations, we process your personal data for compliance purposes, in order to comply with our financial or legal obligations.

WHO DO WE SHARE YOUR PERSONAL DATA WITH AND ARE THEY SEND ABROAD ?

We do not sell your personal data

We might share your personal data with some of our services providers and/or contractual partners (ex: hosting provider, fiduciary, IT and cyber security partners, publishers or the newsletter, printers, online booking provider or virtual try on) or with the authorities.

We are mostly working with partners within Switzerland and EU (mainly France, Germany and Luxembourg) et we do not share your personal data outside these territories.

Specific case: Our websites however use Google Analytics and other tools available in the Google plugins package such as ReCaptcha, web tags, pixels and API. Please note that by accepting the cookies, you agree to send your personal data to the USA. You can always refuse to do so in the preference center

We may also use plugins on our websites that link to social media platforms. The third-party platform’s use of information collected from you (or as authorized by you) is governed by its own privacy notice and your settings on the service. If you do not want a third-party social media site to assign the data collected through our website to your account on that social media site, you must log out of the relevant social media site before visiting our website.

HOW IS YOUR DATA STORED, SECURED AND STORED?

We take all reasonable technical and organizational precautions to secure your personal data against loss, unauthorized access and other violations. This data will not be shared with third parties except as provided in this privacy notice.

When the personal information we collect is no longer required for a given purpose or based on a legal requirement, we destroy or anonymize it.

We also undertake not to retain your personal data if you should show no interest in our services for a defined period after the end of your last contact with us.

If the processing is based on your consent, you have the right to withdraw it at any time by contacting us data-privacy@opticswissservices.ch.

To help us process your request, please provide us with your full contact details, so that we can identify you securely.

You can also limit the use of tracking technologies, such as cookies, by setting your browser to warn you before accepting them, or you can simply set it to decline them.

If you believe that we are not respecting your rights or our obligations, you can lodge a complaint directly with the data protection authorities in Switzerland.

The Privacy Notice and all matters arising out of or related to it are governed by Swiss law. You agree to the exclusive jurisdiction of the courts at the registered office of OSS.
